Summary
Instructions for completing the Munis User Authorization Form to add, remove, or modify user access in Munis. This form should only be submitted at the request of the authorizing supervisor and requires electronic approval (step 5 below) prior to access being granted/modified.

Steps
- Open the Munis Authorization Form in the Service Desk
Note: If a user is unable to access the form using a link, please ensure the user is logged into the Service Desk prior to following the link.
- Complete the User Information section.
Name of User: Be sure to include the user’s first name, middle initial and last name.
Title: The user’s primary job title.
Log-in ID: The user’s computer login if known (usually LAST NAME_FIRST NAME).
School/Dept.: Name of school or department the user is assigned to.
Phone: Number for contact purposes
Employee ID number: Users Emp. ID number
Building: The physical location of the user’s school or department (this may be the same as School/Dept in most cases).
Op Unit/Loc#: The 3 digit unit used in MUNIS.
Effective Date: Enter the date the addition/changes need to take effect.
- Complete the Munis permissions and setup section
Authorization Type: Select one option

Add User: For a new user to the Munis system

Change User Permissions: For adding or removing access rights for a current Munis user

Remove User: For removal of access for a user to the Munis system
Replace User (optional): If the new user is replacing another user, enter the name of the replaced user, they will have their Munis access disabled.
Permissions Same As (optional): If the new user will have the same permissions as another user at the same location, enter that users name. (this does NOT replace the Permissions fields below)
Financial Permissions: Select all permissions options needed for the user.
HR/Payroll Permissions: Select one option:

Entering Time and Attendance: Grants access to enter time and attendance in Munis only

Entering Time and Attendance with access to Absence Management System (Formerly Aesop): Grants access to enter time and attendance in both Munis and in Frontline Absence Management (formerly Aesop)

Approving Time and Attendance: Grants access to approve time and attendance - staff that have permission to enter time and attendance cannot be approvers of time and attendance. This is important for separation of duties and is required by law
If Remove User was selected in Authorization Type, no Permissions need to be selected.

EAM Requestor Permission: Check the box if the user needs permission to enter Service Requests in MUNIS. Upon approval, the Hub EAM Requestor dashboard will be added to the user’s profile. Service Requests may be submitted for Maintenance related building and grounds issues.Special Instructions: If needed, enter any special instructions/permissions needed that are not listed in the Permissions section.Authorizing Supervisor: Select the name of the supervisor authorizing access to Munis
- Submit the form using the Place Request button at the bottom of the form.
- Authorizing Supervisor will receive an approval request e-mail. This request will be held until approval is granted through the approval e-mail by supervisor. Once this step is completed the request will be received by HR/Payroll and Financial Services
